The Saudi Arabian Cultural Bureau (SACB) has several departments dedicated to academic advising, all of which adhere to the scholarship program rules and regulations established by the Saudi Arabian Ministry of Education (MOE).

When a Saudi scholarship student arrives in Canada and opens a scholarship file with the SACB, he or she is assigned an identification number and an Academic Advisor. The Academic Advisor will assist that student throughout the duration of his or her program and is responsible for ensuring that the student is fulfilling his or her commitment by studying the appropriate courses and credit hours according to the degree and specialization of the scholarship awarded.

The official channel of communication between the Academic Advisors and their students is the online student workflow portal, known among students as the 'Bawaba'. Designed by MOE, the student’s workflow portal facilitates the students' submission and exchange of official documents (academic progress reports, financial guarantees, requests, inquiries, etc.). It is the responsibility of the student to present his academic progress report to the Academic Advisor at the end of each semester, the Academic Advisor is responsible for monitoring and reporting the students' progress to the sponsoring agency.
